Archiving stakeholders

Shareflo does not let you delete stakeholders, because stakeholders form part of your company’s historical share and option register. Instead, if a stakeholder account is no longer needed you can archive it.

Why would you want to Archive a Stakeholder?

The main reason to archive a stakeholder is to remove access for their representatives - for example because you created the Stakeholder by mistake.


When a Stakeholder Can Be Archived?

A stakeholder can be archived as long as they have no current holdings.

This includes stakeholders who:

  • Used to have holdings, but later transferred them away.

  • Was previously awarded/allotted instruments, but those awards were later voided.

If the stakeholder has any current holdings, they cannot be archived.

What Happens When You Archive a Stakeholder?

When a stakeholder is archived:

  1. The stakeholder will no longer appear in the company’s stakeholder lists for operational workflows, including:

  2. The user accounts of the stakeholder’s representative(s) are also deactivated, which removes their access.

  3. Representatives will be notified by email if they:

Representatives who were never invited will not be notified.

How to Archive a Stakeholder

Step 1: Navigate to Stakeholders

  1. Click Stakeholders in the left-hand menu.

  2. Find the stakeholder you want to archive.

  3. Open the stakeholder and click Edit.

Step 2: Archive

  1. Click Archive, and Confirm

  2. If you do not see the Archive button (or it is disabled), this is because the stakeholder has current holdings.

Pricing Note

You do not need to archive a stakeholder just because they have no holdings.

Archiving a stakeholder does not reduce your subscription cost because Shareflo fees are based on the number of stakeholders who have current holdings. Stakeholders without holdings are effectively free.

❇️ Flo and Claude MCP Plugin

Stakeholders can’t be archived via Flo or the Claude plugin. They can only be archived in the web app.
